Video Training Setup Guide
Learn how to assign short, impactful cybersecurity awareness videos to your users and track their progress.
What is Video Training?
Tartan App's Video Training feature allows Admins to assign short, impactful cybersecurity awareness videos to their users. By combining these training modules with phishing simulations, you can effectively bridge the gap between identifying a threat and educating your team on how to avoid it.
Getting Started: Access and Licensing
The Video Training feature is an add-on for your organization's dashboard. If your account is not yet licensed for Video Training, clicking the Training Campaign tab in the left navigation will display a landing page highlighting the benefits of the feature, along with a call-to-action to contact our sales team for an upgrade.
Configuration: DMI and Whitelisting
To ensure your training emails are delivered reliably, you must configure your sending environment.
DMI (Recommended)
If you have already configured Direct Message Injection (DMI) for phishing simulations, the system will automatically detect this and allow you to proceed to campaigns immediately.
Whitelisting
Alternatively you can whitelist the Tartan App training domain: tartan-training.app
Note
If you decide to switch from Whitelisting to DMI later, the system will update automatically. We recommend a quick review of your UI settings during this transition to ensure both phishing and training domains are covered.
Managing Training Campaigns
Navigate to the Training Campaign tab to view your training library. Videos are organized into three categories to help you target the right audience: Employees, Students, and Everyone.
The Training Table
Each row provides a snapshot of the video's status:
- Video Name & Length: Duration of the module (typically under 2 minutes)
- Status: Active, Completed, Stopped, or Not Started
- Timeline: Start date and the set deadline
- Recipients: The number of recipients currently assigned to that video campaign
Launching a Campaign
- Preview
You can preview the video in a popup before sending it to ensure the content meets your current needs.
- Select a Video
Click the Set up and Send button for the video you wish to send.
- Select Recipients
Use filters to select users by Name, Email, Job Title, School, Department, or Failure Count (this allows you to target users who have frequently clicked links in phishing simulations).
- Set Dates
Choose a Send Date and a Deadline.
Reminders: Tartan App sends the initial invite on your start date. Automated reminders are then sent every 7 days until the user completes the training or the deadline is reached.
- Stop a Campaign
If you need to halt a live training, click the Stop Campaign button. This instantly updates the status to "Stopped" across your dashboard and reports.
The Recipient Experience
Recipients receive a clear, automated email from Tartan App inviting them to complete their training.
The Training Page
Clicking the link takes the user to a secure landing page with a video player.
Mobile vs. Desktop
Our player is responsive. Mobile users will automatically see a portrait version (vertical), while desktop users will see the landscape version.
Accessibility
All videos include captions and full keyboard controls (play, pause, full-screen) to remain accessibility compliant.
Reporting and Analytics
Track progress through the Reports section, which features a dedicated Training Dashboard.
High-Level Metrics
Training Completion Rate
Total completions divided by total invites sent across all campaigns
Total Completions
The number of users who have watched their assigned videos
Total Invites Sent
The total number of unique training invites delivered
Detailed Logs
For every specific campaign, you can view a detailed log that includes:
- Per-User Tracking: See individual completion status for every recipient
- Filtering: Narrow down reports by Department, School, Job Title, or Completion Status
